Key Issues from the Steering Group

The first key issue for me is to make sure that in future the room number given for the meeting is correct! Apologies for that, but glad you all made it!
The minutes of the meeting  are available on the project Wiki and can be accessed by clicking here. The key issues that emerged from the discussion were:
  • All partners need to become familiar with the JOOMLA based WBL document management system in order to assess its value and plan their pilot activities. This will be facilitated by Lewis as System Developer and he will provide user support during that period.
  • There was an immediate focus in the meeting discussion on potential WBL system management benefits (as opposed to administrative WBL document management efficiencies) which reinforced the benefits of a digitised system compared with the present paper based system.
  • It was agreed that the project plan will probably evolve during the early stages of the project as detailed actions by the partners are agreed. It was also recognised that some changes in the balance of the budget might accompany this. All proposed changes will be communicated to both the Project Steering Group and the JISC Programme Team for approval before implementation.
  • The role of SMU in the project will be to evaluate the use of the system in a different context and will focus on different digital pen technologies. This will provide valuable information for the WBL partners in terms of cost effectiveness and sustainability, as well as assisting SMU in its document management planning.
The final issue discussed was the links between the PotsPan project and other existing and potential initiatives in the partnership funded from a range of sources. The development, interlinking and potential benefits will be reported here as they evolve.

First Steering Group Meeting

The first steering group meeting for the PotsPan project is now confirmed as being on 29th May 2012 at 11am in Room G27 on the Coleg Sir Gar Graig campus. The meeting will discuss the project plan which has now been uploaded to the project Wiki and can be viewed by clicking here. On the same page is the final report for the SWANI project, the outputs of which are to be piloted by the PotsPan partners.

PotsPan Project Plan

The PotsPan project plan has now been finalised and submitted for approval by the programme team. The first phase will be a project setup period when the project team is set up, partnership agreements put in place, and an initial workshop organised for all partners to gain experience of the digitised document management system and digital pen usage. A project steering group meeting is planned for the 29th May and the workshop on the 27th June 2012.

Welcome to the PotsPan Project Blog

The JISC funded PotsPan Project, which began this week, has the aim of trialling the use of the SWANI digitised management and administrative system for work based learning in the other institutions and organisations delivering work-based learning in the South West Wales region.

The JISC SWANI Project successfully created a digitised administrative and management documentation system for Work Based Learning in Wales that included a digital signature system which satisfied the audit requirements of the EU and the Wales Government.

The proposed PotsPan project will enable the system to be piloted by the other three partners in the Skills Academy Wales WBL consortium (a second FE institution, a private training provider and a national charity) as well as being evaluated by a University for use in their general information management systems.

The outputs and outcomes of the PotsPan project are expected to confirm that the successful SWANI project system is scalable across the region, delivers significant operational and financial benefits, meets all EU and WG audit requirements, and is transferable to any institution or region with similar administrative and management requirements.
